WORKFLOW & QUALITY CONTROL
Sample Approval and Change Control
The short answer
Rework falls when the approved sample defines the design file, size, placement, colors, material, backing, thread, needle, machine setup and acceptable appearance, and when later changes require a recorded approval. An unlabelled sample or verbal change cannot control repeat production.
Build the approval sample record
A sample becomes useful evidence only when its conditions can be repeated. The record for building the approval sample record should identify the machine, file, material, holding method, speed or operating mode where relevant, operator actions and the acceptance check.
The acceptance review for building the approval sample record should cover placement, dimensions, registration, edge quality, coverage, distortion, thread condition and the reverse side. Keep failed and approved states when a comparison is required. Do not turn one controlled sample into a guarantee of sustained output, different materials or an untested machine revision.
- Record the full test conditions
- Inspect preparation and the finished result
- State what the evidence does not prove
Define acceptance criteria

Lock file and material revisions
File recognition is not the same as production readiness. When checking locking file and material revisions, confirm the final design dimensions, stitch count, color sequence, trims, jumps, start point and working field before releasing the file to an operator.
For locking file and material revisions, the confirmed FUJA baseline is limited to the following facts. FUJA machines mainly support DSB and DST embroidery files. Confirmed transfer options include USB and WiFi, and USB export is supported. The operating interface supports 18 languages. This does not mean human support is available in 18 languages. These points do not establish the menu path, software version or recovery procedure for every controller revision, so those details remain subject to model specific documentation.
- Record the controller and software revision
- Keep the approved source file and exported production file
- Verify the screen result before releasing the job
Manage customer and production changes
Begin managing customer and production changes with the buyer's recurring products, materials, design requirements, order pattern, site and support needs. A specification becomes useful only when it can be connected to that work and to an observable result.
For managing customer and production changes, separate confirmed requirements from preferences and unresolved conditions. Carry each open item into the document review, representative sample, demonstration, quotation or FUJA technical request instead of treating a confident statement as proof.
- Describe the recurring work
- Confirm the relevant model and configuration
- Record the condition that still needs verification
Re approval triggers
A commercial embroidery workflow needs a clear owner and acceptance point at every handoff. For re approval triggers, connect artwork approval, material preparation, hooping, machine setup, first piece approval, in process checks, finishing, final inspection and release.
For re approval triggers, define what is checked, how often, against which approved file and sample, and what stops the batch. Record changes to the file, material, thread, needle, backing or setup and require reapproval when a change can affect placement, appearance or repeatability.
- Keep an approved file and sample
- Place checks at high risk handoffs
- Stop, correct and reapprove before restarting affected work
Rework review
Machine price is only one line in a commercial embroidery investment. For rework review, separate the machine and included equipment from freight, duties, delivery, site preparation, electrical work, installation, training, software, accessories, spare parts, maintenance and financing where relevant.
The calculation for rework review must also account for labor, hooping, changeovers, rejected work, downtime and the ability to obtain usable support. Compare the same destination, configuration, service scope and time period. Do not insert a payback claim until the buyer has supplied its own costs, demand and accepted output assumptions.
- Compare the same delivered configuration
- Separate included items, options and buyer supplied work
- Keep return assumptions owned by the buyer
Frequently asked questions
When should a buyer request model specific confirmation?
Request confirmation when the decision depends on an exact working area, controller revision, accessory fit, electrical requirement, maintenance procedure, warranty condition or service action that the general guide cannot verify.
What information should be prepared for FUJA?
Before requesting advice on Reducing Rework Through Sample Approval and Change Control, prepare the products and materials, regular and maximum design size, repeated quantity, changeover pattern, site, power, destination, machine or configuration being considered and the support question that still needs a written answer.
